We will produce approval samples based on these requirements, accompanied by a signed Sample Approval Form from both parties, which will serve as the golden standard for production.
2.Standardized inspection process:
We have a quality control process based on international standards (such as AQL sampling) for incoming materials, in-process production, and final inspection. We can share our QC checklist and welcome you or a third-party inspection agency you appoint to conduct inspections during production and/or before shipment.
3.Clear Quality Agreement:
We recommend signing a Quality Agreement at the beginning of our partnership to define mutually accepted quality standards, tolerance ranges, inspection methods, and procedures for handling non-conforming products (e.g., return, discount, or rework).
1.Sign a legally binding Non-Disclosure Agreement (NDA): Before the project begins, we will proactively sign a comprehensive NDA with you, clearly stipulating that both parties are obligated to keep all exchanged technical, commercial information, and intellectual property confidential, along with outlining the consequences of breach.
2.Internal control measures: We provide regular IP training for our employees and implement strict controls on access to sensitive documents. Design files are stored and transmitted encrypted.
3. Clear ownership declaration: The contract will explicitly state that all designs, drawings, and brand assets provided by you remain your sole property. We will only use them for the production of this specific project and for no other purpose, nor will we disclose them to any third party.
1. Create a realistic production schedule: We will provide a total timeline, including production lead time, inland transportation, and estimated vessel/flight schedules, with built-in buffer time, rather than an idealized date.
2. Transparent logistics tracking: Once the goods leave our factory, we will provide detailed logistics information (e.g., vessel name/flight number, container number, Bill of Lading number) for you to track the shipment in real-time.

Contingency plans and communication: For "force majeure" events (e.g., severe weather, port congestion, policy changes), we commit to informing you immediately of the situation and the estimated impact. We will then work together to find a solution (e.g., discussing partial air freight for urgency) to minimize losses. The contract will include clear force majeure clauses.
1. Dedicated Project Manager: We will assign an experienced, bilingual (English/Chinese) dedicated Project Manager to act as your single point of contact, coordinating internal resources to ensure accurate and efficient information flow.
2. Utilize collaboration tools and set clear communication windows: Besides email, we recommend using collaboration platforms like Zoom, Teams, or Asana. We can schedule fixed weekly video call times to align on project progress and will adapt to your time zone.
3. Cost protection mechanisms: We offer two main approaches:
(1)Quotation Validity: Our quotes typically have a clear validity period (e.g., 30 days), during which the price is firm.
(2)Price Adjustment Clause: For long-term orders, we can include a clause in the contract stating that if the market price of key raw materials fluctuates beyond a certain percentage (e.g., ±5%), both parties will negotiate in good faith to adjust the order price accordingly, ensuring the sustainability of our cooperation.
1. Clear delineation of responsibility:
Transportation Damage: We arrange insurance before the goods leave the factory. If you find external damage or product damage upon arrival, please take photos/videos as evidence immediately and notify both the carrier and us. We will assist you in filing a claim with the insurance company.
Manufacturing Defects: If a batch quality issue is confirmed by both parties to be due to our production process, we will assume full responsibility and provide replacements, refunds, or compensation as per the contract agreement.
2. Clear claims process: The contract will specify the required notification timeframe after an issue is discovered, the necessary evidence (e.g., photos, videos, third-party inspection reports), and the response time for proposing a solution.
3. Long-term partnership orientation: We view our clients as long-term partners. Should any problem arise, our primary principle is not to shift blame but to communicate proactively, quickly identify the root cause, and propose a fair and reasonable solution to protect our collaborative relationship.
